This policy applies to the Mivare website and contact related to offers, consultations, estimates, projects and enquiry handling. Mivare is a brand operated by BEELOGIC sp. z o.o..

The website Mivare is a commercial brand and website operated by the Controller.

2. When this policy applies

This policy applies in particular when:

  • you visit our website,
  • you send a message through the contact form, consultation form or another form available on the website,
  • you contact us by email, phone or social media,
  • you request an offer, estimate, consultation, meeting or the start of cooperation,
  • you enter into an agreement with us or have discussions before entering into one,
  • you use analytics tools, cookies or similar technologies within the website.

3. What data we may process

The scope of data depends on the form of contact or service you use. It may include in particular:

  • full name,
  • email address, phone number, company name,
  • project address or project location, if you provide it in your enquiry,
  • message content, description of needs, scope of work, budget and expectations,
  • data included in attachments, photos, files and documents sent by you,
  • billing and contractual data if cooperation takes place,
  • technical data related to use of the website, such as IP address, cookie identifiers, device, browser and operating system data, approximate statistical data and information about activity on the website.

Please do not provide us with special categories of data unless it is necessary and clearly justified by the nature of the matter.


4. Purposes and legal bases of processing

We process personal data only when we have a legal basis to do so. Most often these are:

  • handling enquiries, forms and contact Article 6(1)(f) GDPR, meaning our legitimate interest in replying, conducting correspondence and handling relationships with people interested in our offer;
  • pre-contractual activities and performance of a contract Article 6(1)(b) GDPR;
  • fulfilment of legal obligations Article 6(1)(c) GDPR, for example tax, accounting, archiving obligations or obligations related to pursuing claims;
  • marketing our own services, website security, statistics and analytics Article 6(1)(f) GDPR, unless specific regulations require prior consent;
  • activities based on consent Article 6(1)(a) GDPR, if we ask for your consent to specific activities, for example the use of selected cookies or marketing contact where required.

If processing is based on consent, you may withdraw it at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.


5. Is providing data mandatory?

Providing data is generally voluntary, but in practice it may be necessary to reply, prepare an estimate, conduct a consultation, enter into or perform a contract. If you do not provide the data required for a given matter, contact or service delivery may be impossible.


6. Data recipients

Your data may be disclosed only when justified by the purpose of processing. Recipients may include in particular:

  • providers of hosting, email and IT infrastructure,
  • providers of tools for forms, analytics, marketing, security or cookie consent management,
  • subcontractors and partners supporting us in handling enquiries, carrying out projects or preparing offers,
  • accounting offices, law firms, advisory companies, payment operators and couriers, if needed,
  • authorised public authorities, if disclosure is required by law.

7. Transfers of data outside the European Economic Area

As a rule, we try to use solutions located in the European Economic Area. If we use providers whose infrastructure or subcontractors are located outside the EEA, data transfers take place only with the appropriate safeguards required by the GDPR, for example on the basis of standard contractual clauses or an adequacy decision.


8. How long we store data

The data storage period depends on the purpose for which the data was collected:

  • data from forms and ordinary correspondence for the time needed to handle the matter, and then for the period necessary to defend against or pursue claims, usually no longer than 3 years unless a longer period is justified by the nature of the relationship;
  • data related to offers, contracts, project delivery and settlements for the duration of cooperation, and then for the period required by law and the limitation period for claims;
  • data processed on the basis of consent until it is withdrawn or the purpose of processing ceases;
  • technical data and cookies for the period resulting from the settings of the given tool, browser, analytics system or the lifetime of a particular cookie.

9. Your rights

You have the right to:

  • access your data,
  • rectify your data,
  • erase your data,
  • restrict processing,
  • data portability, if processing is based on consent or a contract and is automated,
  • object to processing based on our legitimate interest,
  • withdraw consent at any time,
  • lodge a complaint with the President of the Personal Data Protection Office.

10. Profiling and automated decision-making

We do not make decisions about you solely by automated means that would produce legal effects or similarly significantly affect you. We may, however, use analytics or marketing tools that help us better understand website operation and content effectiveness.


11. Technical data, logs and security

When using the website, technical data may be recorded automatically, including IP address, date and time of visit, device type, operating system, browser type, visited subpages and other usage data. This data is used to ensure security, administer the website, diagnose errors and keep statistics.

We use appropriate technical and organisational measures to protect data against loss, unauthorised disclosure, destruction, modification or unauthorised access.
